POSITION: Call Center
REPORTS TO: Office Manager
JOB SUMMARY:
Answer telephone in an enthusiastic, courteous professional manner. Direct calls to appropriate personnel. When scheduling appointments, collects old balances and all pertinent information from patient (insurance and demographics) and enter in computer. Reschedule and cancel appointments as necessary. Keep active cancellation list, update recalls, and confirm appointments
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent.
- Two years minimum experience in the medical field.
ESSENTIAL SKILLS AND ABILITIES:
- Excellent customer service and communication skills.
- Strong and experienced background in answering phone calls
- Ability to work as a team member.
- Empathetic with patients’ needs and concerns.
- Attention to detail.
RESPONSIBILITIES:
- Knowledgeable of all physician’s specialties, schedules, insurances, insurance requirements and scheduling/office protocols
- Schedule patient appointments for all practice physicians and locations.
- Assist in rescheduling patients due to in-office schedule changes
- Triage patient complaints thoroughly when scheduling their appointment
- Referral scheduling for both office locations
- Complete “Triage Tech Sheet” and process per protocol.
- Enter or verify all personal and billing information when scheduling appointments for New or Established patients.
- Notify appropriate location of cancel, reschedule, or WI appointments
- Notify E&B of cancel, reschedule, or Wi appointments
- Completes QM and progress notes to doctors in a timely manner
- Assist in requesting of charts from storage for upcoming appointments.
- Assist Call Center Lead in checking voice mail, retrieve and distribute messages as appropriate.
- Assist Call Center Lead with Photo Folder in Medflow
- Assist in collecting old balances and batching out payments for the day
- Complete additional duties assigned by Call Center Lead.
- Other duties as assigned.
Job Title: Work Up Technician
Reports To: Administrator

JOB SUMMARY: To work up patients while demonstrating ophthalmic assistant skills as outlined by the Joint Commission on Allied Health Personnel in Ophthalmology (JCAHPO).
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent.
- Two years’ experience as an ophthalmic assistant in ophthalmology setting.
- Ability to manually refract.
ESSENTIAL SKILLS AND ABILITIES:
- Strong communication and interpersonal skills.
- Personable and empathetic with patient’s needs and concerns.
- Well-organized and attentive to detail.
- Able to work as a team member.
- Demonstrate computer literacy
RESPONSIBILITIES:
- Interact with all patients using the level of respect and professionalism required by this practice.
- Obtain patient history to include chief complaint, history of present illness, past history (ocular and general), family history (ocular and general), and history of allergies and medications.
- Perform accurate and consistent documentation and measurement tasks to include:
Visual Acuity, Manual Lensometry, Confrontational Visual Fields, Stereo testing, Evaluation of Motility, Pupillary Function Tests, Color Plates, Applanation Tonometry, Humphrey Visual Field Testing, OCT, Fundus Photos, Pentacam, I-Care, BAT, PAM, Shirmers, Pachymetry, Low Contrast Sloan Test for MS study patients, assess angles before dilation and check for patent PI’s when necessary. - Maintain stock levels and cleanliness of exam lanes.
- Assist physicians in all clinical areas including minor surgical procedures and performs all tests as ordered by physician. Be aware of the red light button and respond in a timely manner.
- Maintain a smooth flow of patients to the physician, altering the test sequence as required.
- Escort patients from the clinical area to the check-out station or optical dispensary, when necessary.
- Seek advice from more senior staff as necessary, never performing beyond capabilities.
- Print out glasses and contact lens prescriptions when needed.
- Maintain proper EHR documentation following all office protocol and policies.
Job Title: Front Desk Receptionist
Reports to: Office Manager
JOB SUMMARY: This position is responsible for checking in and checking out patients, scheduling, general messages, chart filing, and other front desk duties.
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent.
- One year minimum experience in the medical field such as physician’s office.
ESSENTIAL SKILLS AND ABILITIES:
- Excellent customer service and communication skills.
- Ability to work as a team member.
- Manage multiple tasks simultaneously.
- Highly motivated and organized.
- Empathetic with patients’ needs and concerns.
- Excel under pressure.
- Attention to detail.
RESPONSIBILITIES:
- Greet patients and check in patients for appointment per office protocol.
- Obtain needed paperwork, forms, ID, insurance cards for appointment.
- Collect payment for old balances and surgery per office protocol.
- Process orders from Front Desk Orders Box in a timely manner
- Process No Shows and Call Logs per office protocol.
- Answer incoming calls in a timely manner, respond to inquiries, route calls to proper person/department, or take detailed messages. Calls may include scheduling appointments, cancelling or rescheduling appointments for “all” doctors at both locations.
- Be responsive to patient inquiries
- Assist with the filing of charts and other miscellaneous duties assigned by a manager or doctor.
- Assist with pulling charts for upcoming appointments.
- Process faxes as assigned.
- Assist Lead with the processing of Medical Records, lab results, doctor’s letters, etc. per office protocol.
- Check-out patients at end of appointment per office protocol
- Reconcile daily receipts per office protocol.
- Manage cash drawer, prepare bank deposit (MW only) and appropriate forms for balancing.
- Secure the office at closing per office protocol.
- Log in charts from other offices.
- This job may require the employee to cover at other locations when the business need arises.
- Other duties as assigned.
- Maintain fax server log in Medflow. Re-fax or mail as appropriate.(ML only)
- Assist going to storage to pull charts from log.
- Assist in stamping outgoing mail.
- Send out thank you cards as assigned (ML only).
- Process marketing surveys/send to ML for marketing rep.
- Assist Lead with the processing of demos by inputting patients updated information into centricity.
Job Title: Eligibility and Benefits
Reports To: Patient Services Manager
JOB SUMMARY: This position is responsible for verifying all patient benefits for upcoming appointments, documenting in patient’s account in the practice management system, and communicating with the patient, if necessary.
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent.
- One year minimum experience in the medical field such as physician’s office.
ESSENTIAL SKILLS AND ABILITIES:
- Excellent customer service and communication skills.
- Ability to work as a team member.
- Manage multiple tasks simultaneously.
- Highly motivated and organized.
- Empathetic with patients’ needs and concerns.
- Excel under pressure.
- Attention to detail.
RESPONSIBILITIES:
- Verify eligibility and benefits for all patients with appointments including the deductible and co-pay information prior to the appointment time. Make comments in each account in the Practice Management system.
- Obtain referrals/authorization/LOA’s from PCP or insurance company before appointment.
- Cancel or reschedule patients based on insurance information, as needed.
- Print next day appointment schedule for all doctors in both offices and review for any add-on patients.
- Complete all emails daily for add on patients to the appointment schedule.
- Help answer phones.
- Cover for front desk personnel, as needed.
- Other duties as assigned.
Job Title: Ophthalmic Scribe
Reports To: Administrator

JOB SUMMARY: To perform an extensive number of data collection functions as delegated by the physician to allow for proper, professional diagnosis of patients’ conditions. Demonstrate ophthalmic assistant skills as outlined by the Joint Commission on Allied Health Personnel in Ophthalmology (JCAHPO).
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent.
- Scribe certification is a plus.
ESSENTIAL SKILLS AND ABILITIES:
- Strong communication and interpersonal skills.
- Personable and empathetic with patient’s needs and concerns.
- Well-organized and attentive to detail.
- Able to work as a team member.
- Demonstrated computer literacy.
RESPONSIBILITIES:
- Assist physician throughout the clinic, retrieving patient data, transcribe the impression and plan, enter test interpretations, enter new data, listen to and summarize the conversations between patient and physician, e-prescribe RX’s, order appropriate testing for patient, print out any patient education per the doctor requests, print out glasses prescriptions, mark encounters as instructed, perform patient education and assist with some procedures.
- Maintain a smooth flow of patients to the physician, altering the test sequence as required.
- Finish closing/signing doctor out of patient exams as needed per doctor’s instructions.
- Help in obtaining phone messages from all extensions during downtime.
- Load patients that have been worked up and ready or are waiting to see the doctor after dilation.
- Seek advice from more senior staff as necessary, never perform beyond capabilities.
- Escort patients from the clinical area to the check-out station or optical dispensary, when necessary.
- Interact with all patients using the level of respect and professionalism required by this practice.
- Other duties as assigned by supervisor, manager or physician.
- Dilate patients (pediatric side).
